The type of personal information we collect

We currently collect and process the following information:

  • Identity Data includes first name, last name, preferred pronoun, date of birth, gender , username or similar identifier, title.
  • Contact Data includes billing address, delivery address, email address and telephone numbers, as well as details of any additional persons for whom copy correspondence is required.
  • Correspondence Data includes details of your correspondence with us (including instructions recorded online or over the telephone).
  • Marketing and Communications Preferences Data includes your preferences in receiving marketing from us and our third parties and your communication preferences.
  • Transaction Dataincludes details about payments to and from you and other details of products and services you have purchased from us.

 

 

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Purposes of us providing a quotation for you for any of our services.
  • Keeping records of work that we have undertaken for you.
  • Financial records of transactions that have taken place with you.

 

We use the information that you have given us in order to provide out services to you, ensure we are compliant with HMRC audit requirements recording income and expenditure (and VAT where applicable)

We will not share your information.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us using the information above.

(b) We have a contractual obligation.

How we store your personal information

Your information is securely stored on remote serves behind password protected gateways. All cloud based software is stored using SSL protection and passwords are changed regularly.

We keep contact information  for no more than 12 months from our last contact.  We will then dispose your information by securely deleting all records (other than financial transactions which need to be kept for 6 years) from our servers and software.

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
